3.1 Service Description

PrestigeTours provides bespoke luxury travel services including:

  • Travel planning and itinerary design
  • Accommodation bookings
  • Transportation arrangements
  • Activity and experience bookings
  • 24/7 concierge support
  • Travel documentation assistance

3.2 Service Standards

We are committed to providing exceptional service and will:

  • Respond to initial inquiries within 2 hours during business hours
  • Provide detailed proposals within 24-48 hours
  • Maintain 24/7 support during your travels
  • Ensure all arrangements meet luxury standards

4. Booking Process

4.1 Quote and Proposal

All quotes are valid for 7 days from the date of issue. Prices may be subject to change due to currency fluctuations, supplier price changes, or availability.

4.2 Booking Confirmation

Bookings are confirmed upon:

  • Written acceptance of our proposal
  • Payment of required deposit
  • Completion of booking forms
  • Receipt of all required documentation

4.3 Deposit and Payment

Payment terms are as follows:

  • 20% deposit required upon booking confirmation
  • Balance due 8 weeks before departure
  • Full payment required for bookings made within 8 weeks of travel
  • Payment methods: Credit cards, bank transfers, or agreed payment plans

5. Pricing and Fees

5.1 Pricing Structure

Our pricing includes:

  • All specified travel arrangements
  • Our service fees (typically 10-15% of total booking value)
  • Applicable taxes and fees

5.2 Price Changes

Prices may change due to:

  • Currency fluctuations
  • Supplier price increases
  • Government tax changes
  • Fuel surcharges

We will notify you of any price changes and obtain your approval before proceeding.

6. Cancellation and Refunds

6.1 Cancellation by Client

Cancellation fees apply as follows:

  • More than 60 days: 5% processing fee
  • 30-60 days: 25% of total booking value
  • 14-29 days: 50% of total booking value
  • Less than 14 days: 100% of total booking value

6.2 Cancellation by Supplier

If a supplier cancels your booking, we will:

  • Provide alternative arrangements of equal or better quality
  • Refund any difference in cost
  • Assist with compensation claims where applicable

6.3 Force Majeure

We are not liable for cancellations due to circumstances beyond our control, including but not limited to:

  • Natural disasters
  • Government restrictions
  • Acts of terrorism
  • Pandemic or health emergencies
  • Supplier insolvency

7. Travel Insurance

We strongly recommend comprehensive travel insurance for all bookings. We can arrange insurance through our trusted partners or you may obtain coverage independently. Insurance should cover:

  • Trip cancellation and interruption
  • Medical emergencies
  • Baggage loss or delay
  • Personal liability

8. Client Responsibilities

8.1 Documentation

Clients are responsible for:

  • Valid passports and visas
  • Required vaccinations
  • Travel insurance
  • Any necessary permits or licenses

8.2 Conduct

Clients must:

  • Comply with local laws and regulations
  • Respect local customs and cultures
  • Follow health and safety guidelines
  • Behave appropriately in accommodations and venues

9. Limitation of Liability

9.1 Our Liability

Our liability is limited to the cost of the travel arrangements. We are not liable for:

  • Indirect or consequential losses
  • Loss of profits or business opportunities
  • Emotional distress or personal injury (except where caused by our negligence)
  • Acts of third parties or suppliers

9.2 Supplier Liability

We act as agents for travel suppliers and are not liable for their actions, omissions, or failures. Suppliers' terms and conditions apply to their services.

10. Complaints and Disputes

10.1 Complaint Procedure

If you have a complaint:

  • Contact us immediately during your travels
  • Submit written complaints within 28 days of return
  • We will investigate and respond within 14 days
  • We will work to resolve issues promptly and fairly

10.2 Dispute Resolution

Disputes will be resolved through:

  • Direct negotiation and mediation
  • Arbitration if necessary
  • English law and jurisdiction
